E-Mail Etiquette and Netiquette
With electronic forms of communication being more widely used understanding and
using the proper protocol is extremely important. This is particularly true when you are
attempting to communicate in a second language.
Composing an e-mail to someone that you don’t know.
Be sure to include;
- A meaningful subject line. This helps to clarify who you are and what your message is about.
It means that your e-mail will not be mistaken for spam and deleted by the recipient.
- Open with the appropriate greeting. Such as; Dear Mr. Smith or Ms. Smith.
- Use the correct Titles. Mr,Mrs, Miss, Ms, Sir, Madame, Dr, Prof, etc.
- Use standard spelling, punctuation, grammar and capitalization. Do NOT use all CAPS, as this gives the feeling that you are shouting at the recipient.
- Write clearly and concisely. Be direct and to the point.
- Be friendly and polite, but DO NOT try to joke around. Jokes and witty comments are inappropriate for a formal e-mail and can be easily misunderstood.
